How to use it

How the overlap is worked out
Each column is a real hour of the chosen UK day, from midnight to midnight. For every place, the planner asks your browser's time zone database what the local time and weekday are at that moment, so daylight saving is right for the date you picked, not just for today. An hour counts as working time when it falls between 9am and 5pm local time on a weekday.
Example: on Thursday 1 October 2026, London, New York and Paris share working hours from 2pm to 4pm UK time. New York starts work at 2pm UK time and Paris finishes at 4pm UK time. On Monday 26 October 2026 the UK is back on GMT but the US is not, so New York starts at 1pm UK time and the window with Paris widens to 1pm to 4pm.
Tips for meetings across time zones
Meetings within Europe are the easy case. Paris, Berlin and Madrid are one hour ahead of the UK and change their clocks on the same days, so 9am to 4pm UK time is inside their working day all year. Overlaps with Asia and Australia are short or missing. Sydney is 10 or 11 hours ahead of the UK from October to March, so its working day is over before the UK's begins; an 8am UK call reaches Sydney at 6pm or 7pm. With the US west coast there is usually no overlap at all: 9am in Los Angeles is 5pm in the UK. Rotating the inconvenient slot is fairer than always asking the same people to join early or late.
Write the time with its zone, or send the planner link, rather than writing "9am EST": abbreviations are easy to misread, as time zones explained shows. To convert one time without a grid, use the time zone converter. The world clock shows every place's time now, and when the clocks change lists the UK dates that shift every gap by an hour.
Frequently asked questions
What counts as working hours?
9am to 5pm local time, Monday to Friday, in each place. Saturday and Sunday are never marked as working hours, so a Friday afternoon in London that is already Saturday in Sydney does not count.
What is the best time for a meeting between the UK and the US east coast?
Usually 2pm to 5pm UK time, which is 9am to noon in New York. In the weeks in March and late October when the two countries' clocks are out of step, the overlap starts at 1pm UK time.
What is the best time for a meeting between the UK and India?
Early morning UK time. India is 4 hours 30 minutes ahead in British Summer Time and 5 hours 30 minutes ahead in winter, so 9am to 12:30pm UK time overlaps with the Indian working day in summer, and 9am to 11:30am in winter.
Why does one day have 23 or 25 columns?
On the days the UK clocks change, the UK day is 23 hours long in March and 25 hours long in October. The planner shows every real hour, so 1am appears twice in October and is missing in March.
